Order Operations and Process Manager

Job Summary

In a fast paced big box/ consumer driven environment, facilitate the continuous flow of customers orders through EDI to ensure timely processing and shipment to meet customer requested ship date and provide an optimal customer experience.    Process analysis to continually improve the day-to-day activity stream between internal users, customers, and third-party providers via the ERP system, adjacent bolt-on software, and customer portals.

Duties and Responsibilities

•    Manager order-to-cash processes that incorporate the flow of both EDI and manual order activity, the adjoining procedures from receipt through 3rd party vendor, to order invoicing.
•    Identify, analyze, and troubleshoot order/data flow issues through multiple systems in the Quote-to-Cash (QTC) work flow with a focus to improve and/or develop new processes.
•    Ensure data integrity and its interplay with order execution through invoice payment, promoting customer requested ship date and on time shipment metrics. 
•    Execute Advanced Available to Promise tools to access material availability and next steps. 
•    Administer data requirements for smooth order process flow, i.e. pricing contracts, customer cross reference tables, customer master tables, shipping codes/tables, and other data requirements.
•    Work closely with Traffic/Logistics, Sales, Supply Chain, Shipping, and Accounting to ensure smooth order processing and payment.
•    Interpret supply chain dynamics to ensure product availability pertinent to customer shipment requirements. 
•    Actively test new applications, ongoing system improvements, and software upgrades directly and indirectly related to the business.
•    Train and support business users on SAP functionality/requirements relevant to the QTC process. 
•    Proactively participate in a continuous improvement team environment that focuses on streamlining and enhancing processes.
•    Monitor EDI related systems to ensure the data flow, both incoming and outgoing, is continuous and accurate.
•    Work closely with IT and EDI 3rd party vendor to investigate and resolve data flow concerns within a time sensitive environment.
•    Track shipment goals and report on actual daily shipments month to date and planned daily shipments.  

Qualification Requirements

Minimum Education:  

Associates Degree in Business Administration or related field of study preferred.


Minimum Work Experience:   

3-5 years of order management/order entry experience supporting mid to large size customers, preferably within a CPG company.

Knowledge, Skills and Abilities

•    Navigational aptitude to facility qualitative efficiencies in systems utilized throughout the QTC process, both internally and customer driven.
•    Proficiency with ERP System, preferably SAP (S4 Hana) and ability to troubleshoot
•    Advanced knowledge of Electronic Data Interchange (EDI) order placement and invoicing. 
•    Comprehensive understanding of Order Lifecycle and Order Management principles
•    Extensive knowledge of shipment routing via FTL, LTL, and parcel as it relates to EDI and manual order processing.
•    Strong sense of urgency
•    Detail oriented
•    Understand cause and effect of how others’ actions impact the organization
•    Demonstrated experience with Microsoft Excel. 
•    Ability to identify problems and facilitate resolutions.
•    Strong communication skills and the ability to effectively communicate both verbally and in writing.
•    Ability to effectively develop professional and positive relationships with internal and external customer contacts.
